Privacy statement

Hoopla allows organizers to plan and sell tickets to an event, manage the participants before, during and after an event, and sell goods and services associated with an event. We do this through available software on our website, domains and mobile applications, hereafter collectively called the "services".

In order to provide our services to you, we are dependent on collecting and processing personal data.

The privacy statement contains information about how we treat your personal information and your rights.

It is important to us that you understand our privacy statement. If anything is unclear, please contact us by sending an e-mail to personvern@hoopla.no

Consent

By using the services, or allowing someone to use the services on your behalf, you are consenting to our processing of your personal information in accordance with the privacy statement outlined in this document.

Personal information is a piece of information or assessment that can be linked to you as a person.  For example, your name, address, phone number, e-mail address, IP address, or personal identification number. Behavioural patterns are also considered to be personal information. This may be information about where you shop, your movements during a day, or what you search for online.

Processing of personal data is any use of personal data.  For example, collecting, recording, compiling, storing and disclosing personal data. It can also be a combination of these types of processing.

The types of personal data we collect and process are specifically described in sections 2 and 3 of this privacy statement.

1. Data Controller

Hoopla AS, represented by the General Manager, is the data controller for the company’s processing of personal data. It will be specified in each individual point if we have delegated the daily responsibility. This applies solely to the responsibility for conducting the tasks, and not the overall responsibility.

2. What personal information do we collect?

Organizers

We collect personal data from you relating to:

- Registration to access the services as an organizer

- Inquiries and support requests

- Our surveys

- Use of the services

The following personal information is collected:

- Name

- Address

- E-mail address

- Postal code

- Phone number

In order to facilitate the payment of the organizer's earnings, and ensure proper financial reporting, we also collect the account number and invoicing address.  

Administrators and ushers: When you are registered as an administrator or usher, we collect your email address.

Cashier service: In accordance with the cash transaction regulation, we are obliged to collect the following personal information before you operate the cash transaction system: First name, last name, and related cash balance. This applies both to volunteers at an event and to an employee of an organizer. In addition, the phone number and your own reference can be entered.

Ticket buyers and visitors to the services

We collect personal information from you relating to:

- Buying tickets for an event

- Inquiries and support requests

- Surveys  

The following personal information is collected on purchase of tickets:

- Name, e-mail address and phone number

- Behaviour pattern information

Which event you purchased a ticket for, the type of ticket you have purchased, the purchase method (card/invoice), whether you have received a ticket by SMS, the starting time of the event.

- Obligatory or optional form response

An organizer may link a form to the purchase page to collect additional information about you as a ticket buyer. It is either obligatory or optional to fill in the fields.  

The organizer should only make a field obligatory if it is necessary to complete an agreement with you as a ticket buyer. It is not permitted to collect sensitive information.

For enquiries and support requests, we collect the personal information you provide. For surveys, we collect personal information from the questionnaire.

Anonymous personal information

In order to improve, adapt and maintain the services we provide, we collect and analyse anonymised personal information when you visit or use our services and applications.

The following personal information is collected and analysed:

- IP address

- Browser type

- Descriptions of your devices and software

- Domain name of your internet service provider

- Your approximate geographical location

- Your registered use of the service

- Time of use of service

We collect this information by using "cookies". Cookies store information from your browser when you visit our website. You can disable cookies in your browser at any time.

Potential organizers

We collect the following personal information about potential customers:

 - Name

- E-mail address, by agreement with the prospective customer.

- Phone number

3. Why is this information processed?

Organizers

We process your personal information in order to:

- Be able to handle your inquiries before, during and after an event.

 When you provide personal information in connection with support requests, we will use this personal information in accordance with your inquiry. For example, when you contact us by e-mail, we will use the personal information you provide to respond to your inquiry.

- Facilitate the payment of the organizer's earnings and ensure financial reporting.

 When you enter your e-mail address, or allow someone to enter this for accounting documentation, this is used to ensure that accounting documentation reaches the correct recipient.

- Authorize login to organizer’s account, app for entrance and cash transaction system

 When you log into our services with your e-mail address, this is used to authenticate you as a user.

Ticket buyers

We process your personal information in order to:

 - Be able to deal with your inquiries before, during and after an event.

When you provide personal information in connection with support requests, we will use this personal information in accordance with your inquiry. For example, when you contact us by e-mail, we will use the personal information you provide to respond to your inquiry.

- Secure payment for your tickets and send them to you via e-mail and SMS.

When you enter your card number, expiry date and CVC code to purchase tickets, we use the information to carry out the transaction. These are forwarded to our payment transmission service PayEx and are not saved by us.

When you provide your personal identification number and shipping address for purchasing tickets against invoice, the information is used to carry out the issuing of the invoice. These are forwarded to our business partner Svea Finance NUF, which carries out a credit control before the invoice, if any, is issued.

- Create a participant list that can be downloaded with the information collected when you purchase a ticket.

The participant list has the following uses, which are necessary to carry out the service:

  - Support: Re-send tickets, search for participants, check refunds and the entry status on a ticket.

- Payment: Create and re-send invoices and calculate payment base for organizers.

  - Ordering of goods and services on your behalf: For example, hotel rooms in your name in conjunction with a conference, personal season card or accreditation card.

Provided you have given your own consent to this, your contact information on the participant list is used:

  - To send you newsletters

- To send you offers by SMS

 - Give the organizer the opportunity to contact you by SMS and e-mail with useful info about the event you have bought the ticket for.

Potential organizers

We process your personal information in order to promote our services and to coordinate this activity. The information is used to contact you by telephone, and – if you have agreed to this – contact you by e-mail.

4. Legal basis

Organizers and ticket buyers

Personal information processed in order to conduct the service has legal basis in the Personal Data Act Section 8a (GDPR Article 6b).

The processing of personal data in addition to this is collected with your consent. You have the right to withdraw this consent at any time. Please contact us at personvern@hoopla.no

Personal information which is processed to comply with legal requirements has its legal basis in the Personal Data Act Section 8b (GDPR Article 6c). We save personal information in accordance with the Bookkeeping Act and the cash transaction regulations.

Potential organizers

Personal information processed in order to promote our services has legal basis in the Personal Data Act Section 8f (GDPR Article 6f) and the Marketing Control Act Section 15.

If you do not want to be listed in Hoopla’s address register, you can require that your information be deleted.

5. Where is the information retrieved from?

Organizers and ticket buyers

We collect your personal information when you enter these when you create and use your organizer account, or when you as a ticket buyer purchase a ticket for an event.

Potential organizers

We obtain information from sources that are already publicly available, such as the organizer’s website and the Brønnøysund Register of Enterprises via the business databases Proff.no and Purehelp.no.

6. Is it voluntary to release the information?

Apart from the personal information necessary to provide our services to you, it is voluntary to provide us with personal information.

7. Is the information distributed to third parties?

We share your personal information with our sub-contractors where it is relevant to be able to process your personal information described in this privacy statement.

To ensure that your personal information is handled in accordance with this privacy statement, and the applicable personal privacy legislation, we enter into data processing agreements with all subcontractors.

8. How is the information deleted and filed?

Personal information is stored in the services and with our subcontractors. We store information as long as an organizer account is active. If the organizer deactivates the account, we store the information for up to five years.

We also delete your personal information if you withdraw your consent and there is no other legal basis for the processing.

9. What are your rights as a registered person and which country's legislation applies?

You have the right to be forgotten. This means that you can require to have your personal information deleted, and you can oppose the processing of personal data beyond what is necessary to conduct the services. You are entitled to have your inquiry answered within one month.  

We act in accordance with Norwegian law.

10. How is the information secured?

The personal data is secured through our internal controls and organizer terms and conditions, which are adapted to today's legislation.  

The data processing agreements with our partners govern their use of the personal data for specific purposes and ensure confidentiality.
